Preamble & Applicability
These Master Terms and Conditions govern all travel services, custom itineraries, ground handling bookings, and operational logistics provided by 3K Travels Oy. Depending on the operational framework of the specific booking transaction, services will be split and governed under either **PART I (B2C: Direct Consumer Sales)** or **PART II (B2B: Destination Management Company / DMC Services)**. General liability and legal venue parameters outlined in **PART III** apply universally to all transactions.
PART I: B2C GENERAL BOOKING CONDITIONS
(Applicable strictly when 3K Travels Oy acts as the primary “Travel Organiser” selling packages directly to individual retail end-consumers located inside or outside of Finland).
1. Booking, Communications, and Confirmations
- 1.1. Written Rule: All reservation bookings, custom alterations, itinerary changes, and cancellations must be made strictly in writing via email or the official portal.
- 1.2. Support Documents: On payment of the specified booking amount, 3K Travels Oy will provide details of domestic transfers and hotel reservations, which can be used as supporting documents for the VISA application.
2. Pricing Integrity and Package Scope
- 2.1. Price Guarantee: 3K Travels Oy guarantees that there will be no changes in the prices of confirmed, paid, and booked tours. A detailed list of all services included in the tour price will be specified under each tour itinerary.
- 2.2. Package Pricing Only: All tours are sold as an all-inclusive complete package unit. 3K Travels Oy operates on a holistic pricing model and is under no obligation to provide line-item pricing breakdowns or cost itemizations of individual travel components.
- 2.3. Standard Exclusions: Any extra expenses incurred by the client during the tour—for example, use of hotel mini-bars, cost of alcoholic beverages, or any other services not explicitly mentioned in the itinerary—must be paid directly by the client to the hotel or other provider of such services before departure. Unless explicitly stated, prices exclude all airfare and visa expenses.
- 2.4. Accommodation: While every effort is made to provide accommodations as described in the itinerary, 3KTravels reserves the right to substitute accommodations of a similar standard if necessary.
- 2.5. Transportation: Transportation during the tour is provided by our trusted partners. We at 3K Travels have full right to change the route incase of unwanted situations beyond our control.
3. Amendments, Cancellations, and No-Shows
- 3.1. Revisions: Amendments to confirmed reservations are subject to availability. 3K Travels Oy reserves the right to agree to amendments to tours and share additional cost details on amendments.
- 3.2. Unused Services: Travel arrangements cancelled or amended within 24 hours of scheduled departure, or once travel has commenced, will not qualify for any refunds, nor can services be substituted for alternative arrangements. Unused services are strictly nonrefundable.

3.3. Cancellation Scale Policy: Specific cancellation terms and conditions may be provided directly on the individual booking confirmation invoice, which shall take legal precedence. However, these Master Terms serve as the general conditions; if the booking confirmation invoice does not explicitly state otherwise, the following standard penalties apply:
All cancellations must be made in writing. The date of cancellation shall be the date on which 3K Travels Oy receives it in writing. Cancellations are subject to the following structural scale penalties:- From the date of booking until 61 days before arrival: EUR 750 per person or 25% of the total package price, whichever is higher.
- Between 60 and 31 days before arrival: 50% of the total tour package cost.
- Between 30 and 15 days before arrival: 75% of the total tour package cost.
- Between 14 and 2 days before arrival: 100% of the total tour package cost.
- 2 days before start date or No-Show: 100% of the total tour package cost.
4. Passports, Visas, and Travel Insurance
- 4.1. Passenger Liability: Every participant is responsible for providing his/her own travel documents (i.e., passport, visa, vaccination certificates, etc.).
- 4.2. Visa Outcomes: 3K Travels Oy is not responsible for VISA approval or rejection, as entry permission rests under the sole discretion of the concerned immigration authorities.
- 4.3. Mandatory Insurance: 3K Travels Oy recommends all its customers to have adequate travel insurance, including cancellation cover. 3K Travels Oy cannot be held responsible for loss of luggage or other personal possessions, for personal injury, accident, or illness. In the event of personal injury, accident, or illness, 3K Travels Oy cannot make any refunds should the tour be partially cancelled or cancelled.The cancellation policy in 3.3 will be Applicable
PART II: B2B DMC OPERATIONAL TERMS
(Applicable strictly when 3K Travels Oy acts as a Destination Management Company / DMC wholesaling ground logistics to global travel agents or global B2B corporate entities located outside of Finland).
5. B2B Representation and Booking Flows
- 5.1. Principal-to-Principal: This segment defines a strict principal-to-principal B2B commercial relationship if seprate agreement contract between 3K Travels Oy and purchasing entity is not in place. The purchasing entity (“Travel Agent”) acts as an independent contractor with no authority to legally bind or commit 3K Travels Oy.
- 5.2. Net Consolidated Rates: All B2B pricing calculations shared by the DMC are confidential B2B net rates expressed exclusively in EUR (Euros).
- 5.3. Absolute Package Pricing Integrity: The DMC delivers services purely as a combined, consolidated package unit. Under no circumstances shall the DMC be required to share, disclose, or provide a financial breakup or line-item pricing of individual elements (including individual hotel net agreements, transportation rates, or local vehicle hire lines) to the Travel Agent, corporate bookers, or retail customers. The unified package price presented by the DMC shall be treated as final and non-negotiable in terms of itemized disclosure.
- 5.4. Exemption Status (Global Outbound Agents): Because the Travel Agent (or any global corporate booking entity under this framework) promotes, markets, and sells travel packages outside the territory of Finland directly to retail passengers, this arrangement qualifies strictly as an incoming B2B business model. Under KKV guidelines, consumer insolvency protection obligations sit entirely with the consumer-facing entity in the country of sale. Consequently, since no consumer-tier funds are collected by the DMC within Finland, 3K Travels Oy is entirely exempt from maintaining a security registration or monetary guarantee bond with the Finnish Travel Guarantee Register for these cross-border B2B bookings.
PART III: COMMON JURIDICAL & LIABILITIES CLAUSES
(Applicable universally to both Part I and Part II transactions).
6. Support Windows & Service Realization
- 6.1. On-Trip Support: The DMC shall provide customer support to assist passengers with on-the-ground operational issues, flight delays, or scheduling variations during their stay in the destination country.
- 6.2. Support Schedule: Standard operational customer care line support is strictly available during regular Finnish business hours, defined as 08:00 to 16:00 (EET/EEST), Monday through Friday. Emergency contact protocols for critical safety issues arising outside these hours shall be handled in accordance with pre-assigned operational automated guidelines or must be mitigated at the Travel Agent’s consumer-facing tier.
- 6.3. Land Packages and Exclusions Scope: 3K Travels Oy operates strictly as a ground service provider and sells only land packages. All flights—including international airfare to and from the home country—must be booked by the customer directly. Any extra expenses incurred by the client during the tour—for example, use of hotel mini-bars, cost of alcoholic beverages, or any other services not explicitly mentioned in the itinerary—must be paid directly by the client to the hotel or other provider of such services before departure. Unless explicitly stated, prices exclude international airfare and visa expenses.
- 6.4. Third-Party Activities Disclaimer: Some tour packages include high-risk localized activities such as husky rides, reindeer sledges, snowmobile safaris, ice fishing, and similar. In this relation, 3K Travels Oy acts as an agent only for the activity providers; thus, 3K Travels Oy shall not under any circumstances be held liable for injury, damage, loss, or accident caused by participation in these third-party activities.
- 6.5. Force Majeure: Neither party shall be liable for service delays, alternative routing costs, or performance failures resulting from Force Majeure events, natural calamities, strikes, wars, pandemics, or unexpected political disturbances.In such scenario cancellation policy will be followed and no refunds/ tour change dates will be possible
7. Governing Law and Exclusive Courts Venue
- 7.1. Finnish Legislation: These Terms & Conditions, along with all separate custom booking agreements, are governed by and construed entirely under the laws of Finland.
- 7.2. Exclusive Courts Venue: In case a disagreement arises, both parties pledge to first seek an amicable, cooperative resolution through executive-level discussion. If a resolution cannot be reached cooperatively between the Parties, any legal proceedings or contractual breaches arising from this contract shall be brought exclusively before the District Court of Espoo (Länsi-Uusimaa).
